Best NGO Case Study Writing Services Ranked

Conceptual scene of community members at a water point framed beside an oversized text cursor.

Your team has the project reports and knows the work, but someone still has to turn that material into a case study people will read. The writer needs to explain what changed, show how the program contributed, and give readers enough evidence to judge the account for themselves. A fluent paragraph can still get that work wrong.

International NGOs and research organizations in Europe and Asia also need English that reads naturally outside their own teams. A writer may know the grammar and still miss what a research finding allows you to claim. Ask for samples that show how the writer handles evidence, including results that need qualification.

The providers below range from specialists who write from supplied material to consultancies that help organizations evaluate results or plan communications. The descriptions explain what each offers and where you’ll need to confirm the scope. Freelancers and in-house staff deserve consideration too, especially if you have time to review the work closely.

1. MacroLingo: Case study writing from your existing materials

MacroLingo writes and edits English case studies for NGOs and research organizations using supplied reports, data, approved quotations, and other source material. We explain the program and its results for readers who weren’t involved in the work, drawing on the evidence your team supplies.

We work on program outcomes, research-related projects, and individual experiences. We can also turn findings from an impact study into a case study for readers outside the research team. We can prepare the case study for your website or a report, then adapt it into shorter versions for other channels. Choosing suitable case study formats at the start helps establish what evidence and level of detail each version needs.

Adam Goulston holds a Master’s in International Social Development and has experience with NGOs in Japan, Southeast Asia, and the United States. His background combines native English writing with an understanding of development work and the demands of communicating across languages.

MacroLingo has written and edited dozens of case studies for the APN Adaptation Database, hosted on AP-PLAT, using field reports, published articles, and other media. Our NGO work also includes editing climate and policy material for international readers.

We distinguish activities from measurable program results and keep claims within the evidence supplied. We ask your team to clarify gaps in the source material before making claims that depend on them.

MacroLingo also specializes in SEO and AI-search optimization, and we apply both to case studies. We write descriptive headings and explain the project and its results in passages that make sense when read on their own. Clear source links let readers check the evidence and help search systems identify where claims come from. This gives the case study a role in helping people discover your work through conventional and AI search. The six other service pages reviewed here don’t describe SEO and AI-search optimization as part of their case study offering.

MacroLingo suits organizations that have source material and need an experienced writer to develop it into clear English. We don’t conduct interviews for this service, so your team must supply the necessary participant accounts and approved quotations. We can arrange translation in some languages as a secondary service; availability depends on the language and assignment.

2. moflow: An ongoing nonprofit storytelling program

moflow offers a nonprofit storytelling service that combines planning, interviews, and writing. Marlene Oliveira plans the stories around your audiences and communications priorities, then interviews the people involved.

moflow suits organizations that want to publish stories regularly and need help choosing subjects. Its check-ins give staff time to discuss how to use those stories in their communications.

The package includes planning and interview work, so ask about a standalone assignment if you already have the material for one case study.

3. The Good Studio: Interview-based charity case studies

The Good Studio offers written charity case studies for websites, impact reports, newsletters, and funding applications. The published package covers briefing and interviewing through to the written case study and one revision round. It also offers adaptations for different channels.

This is a relevant option when an organization needs help obtaining a participant’s account as well as writing it. Such individual stories can explain experiences and decisions that program statistics alone cannot capture.

Ask for comparable samples before commissioning a research-heavy assignment, and establish who will check technical claims and results. Participant accounts can contribute to a case study about program outcomes, but claims about the wider program need supporting evidence.

4. TCC Group: Impact storytelling with community participation

TCC Group combines impact storytelling with community engagement, communications strategy, training, and production. Its services include listening activities and ways to involve communities in developing and communicating a narrative.

TCC is worth considering if your organization needs a process for involving communities in the account of its work. Its work also connects storytelling with evaluation and learning.

Ask about a standalone writing commission if you already have reports ready for an article. The published offer includes work on strategy and community participation that your assignment may not need.

5. RooneyPartners: Stories within a PR and communications program

RooneyPartners works with foundations, nonprofits, advocacy organizations, and professional associations on impact storytelling. Its services combine content with public relations and digital communications for donors, participants, volunteers, and the wider public.

RooneyPartners is worth considering if you need help reaching those audiences as well as writing the story. Its broader communications services allow you to discuss promotion as part of the assignment.

The impact storytelling page doesn’t describe a dedicated case study writing package. Request samples and a proposal that specifies what the agency will write and how your team will review it.

6. FSG: Research and evaluation before the story is written

FSG supports nonprofits and NGOs through strategy, research, evaluation, learning, and collaboration. Organizations planning impact studies can discuss their evaluation needs with FSG before deciding how to communicate the findings.

For example, a program team may have extensive activity records but still need to assess what changed and how its work contributed. An evaluator would need to examine that evidence before a writer could make a supported claim about the outcome.

FSG’s nonprofit services page doesn’t advertise a standalone case study writing package. Its place here is for organizations that need to establish the evidence before commissioning the story; confirm whether an engagement would also include writing.

7. Story Point Consulting: A fundraising case for support

Story Point Consulting offers case-for-support writing and workshops that help organizations develop their own fundraising narrative. Its stated focus is small and midsize Canadian charities and nonprofits.

A case for support explains why an organization or initiative merits funding. A program case study describes a specific experience or body of work and its results. A case study can support a fundraising argument, but the two documents serve different purposes.

Story Point is relevant when the underlying need is donor messaging or a fundraising document. Europe- and Asia-based organizations should confirm fit with their funding environment, and anyone seeking a program outcome case study should clarify that deliverable before commissioning the work.

Hiring a freelance case study writer

Freelance platforms such as Upwork and Fiverr give organizations access to writers with varied backgrounds. There are capable specialists and bargains available, particularly for teams with time to search carefully and assess candidates.

The difficulty is verifying what a profile claims. General copywriting experience doesn’t establish expertise in development programs, research, or participant stories. Claimed language ability and subject credentials also need checking; a profile can overstate either.

Require native-level English writing and relevant NGO or research experience for the final copy. Using English as an official, national, or workplace language doesn’t by itself demonstrate that someone can produce natural, accurate prose for international publication. Native speakers also need enough subject knowledge to understand the work and handle its evidence responsibly.

Ask candidates to identify published work they wrote and explain their role in producing it. A paid sample based on a short source pack lets you assess their judgment as well as their English. For example, check whether the writer turns attendance at a training session into a claim that participants changed their behavior, even though the source documents only attendance. Your team will need time to assess samples and review drafts, so account for that work when comparing a freelance arrangement with other services.

Using your in-house team

In-house staff often know the program history, partners, and local context better than an external writer. They may also have access to records and colleagues that would take a contractor time to understand. A team with writing expertise and time set aside for the assignment can produce the case study internally.

The constraints are usually capacity and editorial distance. Staff who use English competently every day may still need help writing for readers outside their field, while colleagues close to a project can overlook information that outsiders need.

Program staff can assemble the evidence and check the facts while a communications specialist or external writer develops the narrative. Editing may be enough if the team has already produced a sound draft. Decide who will confirm participant permissions and approve the final wording before work begins.

What to agree before commissioning a case study

Identify your intended audience and what you want readers to understand or decide after reading. A funder assessing results will need different detail from a member of the public encountering the program for the first time.

Give the writer the available reports and data, including dates and approved quotations. Share relevant impact studies in full so the writer can check the methods and limitations behind the results. Point out gaps that your program team still needs to resolve, and specify the length and publication channel. A case study for an annual report may need a different structure from a standalone web article, particularly if the report already explains the program.

Agree which outcomes the evidence supports and who will answer questions about them. Your brief should also identify who checks technical details and participant permissions, with time set aside for your team to combine feedback into one response.

These decisions make it easier to compare proposals fairly. Interviewing participants involves different work from evaluating a program or writing from supplied reports, even when each contributes to the same published case study.

What published case studies can teach your team

MacroLingo’s review of 50 English-language case studies from 10 international organizations found that 39 used numbers, but only 12 gave readers enough evidence on the page to connect the featured work with a reported result. The review assessed what readers could establish from those selected public case studies. It didn’t evaluate the programs themselves.

Ask prospective writers how they’ll connect the account of change to its sources. They should be able to explain who did what and where the available evidence limits the claim.
